01
Your plans, the way you really sell them
You set up the monthly membership billed on repeat, the prepaid quarter or year, class packs with how long they're valid, and the day pass; each plan is unlimited access or so many classes a week or a month. The sign-up fee is added on its own to a first membership, and the re-enrollment fee only to someone who comes back after the window you set; waiving it takes the permission and a reason. A family pays through one payer and each member carries their own line and discount, and a minor gets in once their guardian signs the waiver and the PAR-Q. Editing a plan only changes what you sell from then on.
02
Get paid however they pay, and every charge is invoiced
At the front desk you take cash, a transfer with a photo of the receipt, or a card on your terminal; if they'd rather pay from their phone, you send a payment link and the membership turns on as soon as they pay. With your Recurrente account connected, the member saves their card once and every period is charged on its own; if a charge fails it's retried and the member goes into a few days of grace. A prepaid plan can also be sold in 3, 6, 12 or 18 credit-card installments, and Cuadra tells you the fee your business pays before you save the plan. Renewals, sign-up fees, freeze fees and penalty fees go out with their FEL invoice as soon as the payment lands.
03
Freezes, plan changes and minimum stays, without spreadsheets
A member going on a trip freezes their membership within the minimum days and the yearly maximum you set, and their end date moves by those days; the freeze fee is charged on its own order. Moving up a plan charges the prorated difference today, and moving down takes effect with the next charge. If the plan has a minimum stay, leaving early charges the penalty you set, or it's waived with permission. Cancelling stops renewal and the member stays active through the last day they paid for.
04
Group classes with capacity and a waitlist
You build the weekly timetable by class type, room and instructor, and Cuadra creates the classes eight weeks ahead without clashing with the appointments on your calendar. Each class has its capacity; when it fills up, the rest join the waitlist and, if someone cancels, the next one moves up on their own and is told. You decide how late someone can cancel and what a late cancel or a no-show costs: they lose the class, pay a fee, or both. If you cancel a class or the instructor changes, everyone booked finds out, and a manager can forgive a penalty with a reason.
05
QR check-in: the door knows who's coming in
Every member has a signed QR on their phone or in Apple Wallet or Google Wallet. At the front desk you scan it and Cuadra decides: can come in, comes in on grace, owes money, has no classes left, or is missing the medical clearance their PAR-Q asked for. You choose whether someone who owes gets in with a warning or not at all. A kiosk paired at the entrance keeps deciding when the internet goes down and syncs when it's back. Every entry lands in the attendance log, and a visit takes its class off the pack only once a day.
06
The WOD, the whiteboard and personal records
You publish the WOD for each track by day, with its parts, its benchmark and its time cap. In class the coach logs every result on the whiteboard, Rx or scaled, and the day's leaderboard builds itself. Personal records come from the results, in kilos or pounds, with 47 benchmarks already loaded: the Girls, the Hero WODs and the 1RM lifts. The coach also records body measurements. It comes on for a box, and any gym can turn it on with Pro.
07
The member portal, on their phone (coming soon)
Coming soon with Premium: your members will get their own portal at cuadra.gt/m/your-gym and sign in with their phone number and a code, no passwords. From there they'll book and cancel classes, join the waitlist, see their QR even without signal, freeze or change their plan, pay what's pending, update their card, upload a transfer receipt, download their invoices and sign their forms. A guardian will handle their minor children's, and with training on they'll see the WOD, the leaderboard and their records.
08
Who's about to leave, and your gym's numbers
Every night, Premium scores each member's risk of leaving with rules you can read: coming less than before, days since their last visit, a charge outstanding, a freeze request, or a pack about to expire unused. You see the at-risk list with the reason in words, write to them and mark who you contacted, and a win-back journey can write to them on its own. From Pro you get seven gym reports: class occupancy, attendance by day and hour, retention by join month, pack usage, recurring revenue by plan, churn by reason and collections, with CSV and PDF.
